Technical Writing – How to Write Project Justification Documents

As part of building the overall project scope a technical author will first need to lay out the justification documentation. This document which can also be considered a “business case” lays out the fundamental reasons for implementing the project. Here’s a simple guide on creating a project justification.

State the Problem

Businesses don’t carry out projects for fun; they perform them in order to solve a specific issue or issues. You need to describe the problem clearly and accurately at the start of your document so that you can then present the solution to that problem.

For example if you intend to implement a new HRMS (Human Resource Management System) your problem may be; “The HR team currently spends nearly 80% of its time on non-productive administrative tasks, reducing the effectiveness of the function dramatically.”

State the Solution

This should be a simple statement to define your project. This enables your reader to understand what it is you’re proposing.

“We intend to implement an automated HRMS system to reduce manual administration by half.”

Supply Supporting Information

The problem and solution aren’t going to justify your project to the stakeholders and decision makers, so you need to provide the right level of information to enable them to support your recommendation.

Examples of the kind of information you should use:

  • Market Demand – Not always the strongest argument, but if you can show that all your competitors are implementing similar systems, it certainly suggests that it may be worth considering in your organisation.
  • Business Need – In this example the business need is clear, the HR team are spending the majority of their work time on non-specialist tasks and that costs money.
  • Customer Demands – what is it that your customers are screaming out for? Don’t forget to include internal customers as well as external ones.
  • Technological Progression – what’s going on in the world around you, is there are compelling case to be told in terms of the way IT and systems are developing?
  • Legal – Don’t forget the all important obligation to the law, if you can show that your project brings compliance or makes it easier to comply with those requirements you have a stronger case.

Writing a business case or project justification is an essential part of the larger project scoping process. Ideally you should write this early in the lifecycle of your project to help you obtain funding and support. You will also then be able to clearly identify the objectives of your task so that team members have a clear message to take away.

Men are known to be closed when it comes to their emotions. Unlike women who would readily talk about their feelings to their girl friends or even their neighbors, men often prefer to sort things out in their mind. So how would you deal with such a man?

If you want him to tell you everything be ready to understand him first.

This is probably the most important aspect of getting your guy to open up to you. Men are brought up that any outward emotion is a sign of weakness so don’t look down on him if he tries to open up to you.

Allow him to talk freely.

Don’t judge him when he tries to tell you something, don’t stop him either. Make the words flow smoothly and without interruption. Once he feels that he can share his deepest feelings to you, then he won’t hesitate to do it again the next time.

Know when to ask and when to shut up.

It’s all about having the right timing. There are times when a guy would be ready to share with you his innermost feelings and there are moments when he’d prefer to keep it to himself. If you’d be able to master when to gently coax him to talk then you’re a gifted person indeed, for very few women could actually do that.

Have ample time together.

How can a man open up to you if he’s not used to being together with you? Keep in mind that a man has to, primarily, feel comfortable with your presence before he’ll want to share any of his feelings.

Listening is a skill that you must acquire.

If you’re not a good listener (or if you talk too much), then you will definitely have a hard time in making a man open up to you. In order for your guy to share his deepest desires and secrets, you’ll need to have a good ear for listening.

Bringing up the past is a no-no.

Women are great at bringing up past mistakes and rubbing these on their guy’s face. Being in a relationship entails knowing how to forgive so be ready to give this to him. If you constantly point your fingers at him and judge him based on his past mistakes, then he’ll never want to open up to you – that’s certain!

You can be honest without being too vicious.

You can discuss things with him in all honesty but you should know how to control the way you lash out at him. In fact, there should be no lashing out involved. When you two talk, make sure that you’re always levelheaded and that you’re ready to listen and not just speak. After all, conversation must be two-way so be ready to give him the floor when it’s his time to share.

Tips To Prepare Shrimp For The Best Cooking Results

Shrimp is very popular seafood and you can try out all kinds of recipes using the food. It can be used in stews, main dishes, salads and even appetizers. It can be cooked, shelled or unshelled depending on the recipe you are using for the cooking. If you are a fun, then you do not have to wait until the next time you eat out to enjoy your shrimp. The preparation process is very similar whether you are handling frozen or fresh shrimp.

Tip 1 – If using frozen shrimp, make sure you inspect the packaging before purchasing. Ice on shrimp or break in the bag could mean that it has been thawed and then refrozen; choose a different bag instead. Defrost the shrimp by removing from bag and refrigerating in a bowl of cold water overnight. To replenish freshness once thawed, soak in salty water before washing.

Tip 2 – Remove the shell by pinching off the head and legs and hold the tail so you can peel easily from the body. If your shrimp is frozen, then avoid defrosting completely to make the shelling process easier. The head will come off with the shell as well and you can also remove the tail at this point if you so wish. Simply hold the body and pull the tail.

Tip 3 – Devein the shrimp. The vein is the dark line that runs down the back of the shrimp and it is actually the digestive tract and not a vein. It is edible and has nutrients by not many like this part. To remove, make a cut down the back using a paring knife, small utility of a shrimp deveiner. Pull it out using the knife and rinse shrimp.

Tip 4 – When preparing fresh shrimp, be very focused on the smell. Avoid cooking shrimp that has ammonia like smell because it may not be as fresh and healthy as you may want.

Tip 5 – Place the shrimp in salty water if you are not cooking immediately to keep freshness as you get ready for the cooking. You can then find the best recipes depending on how you like your shrimps to cook an enjoyable meal for you and your family.

Some of the best ways of cooking shrimp include cooking them straight from the sea fried or sautéed in salads or served with dipping sauces or even over risotto. You can also cook them in mixed risotto to add unique flavors to the shrimp. It may seem weird by shrimp can also be used in cocktails when fully cooked. There are so many cooking recipes that will make your shrimp most enjoyable. Get Your Arms Around Content Marketing

Back in the day, business owners and executives designed marketing messages for their products and services that, like a megaphone, were directed outward toward target customers and cast a wide net. The usual marketing media were print, radio and television.

Traditional marketing activities are still employed, but they’ve been joined by a more personalized strategy known as content marketing. Neil Patel, CEO of KISSmetrics, defines content marketing as “… the way for a business owner to educate customers and potential customers about your products and services. The goal is to offer tips, help and education about anything that can be useful to the customer. This kind of information can be shared in the form of a blog, white paper, webinar, video. or social post… “

Content marketing directs inward and engages customers on a granular level. Solopreneurs and organization leaders can reveal a deep understanding of customer priorities and challenges, build trust and credibility and demonstrate how customers might benefit from using their products and services.

Michael Brenner, a Forbes Magazine Top 40 Social Media Marketer and head of strategy at NewsCred, points out that “Small businesses don’t have the luxury of massive ad budgets… They need to drive brand awareness and (sales) leads with limited resources. Content marketing is a great way for small businesses to do both.”

Great. How can early-stage entrepreneurs, small business owners and Solopreneurs get started with content marketing? First, identify the content that your customers will value and present it in a way that will lead them to your message. Consider your customer’s viewpoint about the reasons that they use your products or services: what are they trying to achieve and what information might they appreciate? Speak (and listen) to your customers about their business goals and challenges and get a better handle on where your products or services fit in.

Shelly Kramer, founder and CEO of V3 Integrated Marketing, advises marketers to “Tie your overall business goals and objectives into your content marketing strategy” and to incorporate content marketing into social media. “Social and content have to work together in order for you to be successful… You can’t have success with content without a robust presence in the social media space… Understand the role that fresh, relevant content and social media channels play. There is great content being published on corporate blogs on a daily basis that no one ever sees.”

Next, choose your delivery platforms. Do customers visit your website often? Then posting a white paper once a month or writing a weekly blog could work for you. Are customers part of your LinkedIn group or Facebook fan page, or do they follow your business on Twitter? Add those icons to your email signature block and website, to create social media connections that alert customers to your content.

Along with fresh and relevant, volume, value and variety are your other guide posts. Brenner says “(Volume)… starts with this notion that you need to be present in our always on, always connected world. The second thing is value. Your content has to be good. I always recommend that brands identify what they want to talk about and then make every effort to produce as much valuable content around those topics as often as possible. The final tip is about variety. Customers (and search engines) reward brands that deliver value in multiple ways, so think about text-based articles, videos, SlideShare presentations, case studies and all the information we consume across the digital, social and mobile web.”

Finally, measure your content marketing ROI and monitor its impact. Patel offers three metrics: 1. Track content views; 2. Use Google Analytics (free) to track which types of content drives visits to your website; and 3. Measure your search traffic. “You have to give it time. Don’t expect great results in three months or six months, but you will see traction. Within the first three months you should see more traffic to your site. Within a year you should start to see good results and an opportunity to monetize traffic on your site.”

Patel concludes, “Good content marketing builds trust. If someone trusts you, they are more likely to buy your products and services and more likely to tell their friends and family.”

Creative Writing: Internal Vs External Conflict

Conflict is what keeps your readers and your characters on their toes. Conflict keeps your plot moving forward and pushes your characters into exploring new depths of their personalities. Will your protagonist overcome all obstacles and solve the mystery and still get the girl, or will your protagonist cave under the pressure and take his own life?

Conflict can be as simple as a young teenager struggling with her inner emotions while coping with her quest to find love as in Twilight or it can be vicious and sinister as turning everyone against each other in a castle in order to take over the throne like in Ghormenghast.

Internal Conflicts

What are some conflicts that you and your friends and colleagues face regularly? Loneliness? Love? Fear? Anger? Hate? Emotions can blind people and cause them to fall short of their goals.

An internal conflict is an emotional conflict that your character(s) experience within their own mind. In the movie Se7en starring Morgan Freeman, Brad Pitt and Gwyneth Paltrow, Brad Pitt’s character is experiencing an internal conflict of anger and arrogance while Gwyneth Paltrow is suffering from loneliness.

Internal conflict may prevent your detective from rescuing the kidnapped girl in the cellar because he is mortally afraid of the dark. Fear is a very powerful internal conflict. In Kevin Williamson’s movie Don’t Look Down, a killer is murdering the protagonist’s friends and her fear of heights is preventing her from moving past her sister’s death. Fear of heartbreak or rejection can keep someone from asking out his or her secret crush. Joyce and Jim Lavene give an excellent example of how strong fear can be: The fear of rejection can keep a woman from asking a man at her office out for coffee. She thinks about it for so long it achieves epic proportions in her mind. Finally, that fear causes her to stalk him. Another plot hatches!

External Conflicts

External conflicts can be big and small. In action movies, the external conflict can be as devastating as a super volcanoes and super-storms that threaten to destroy the planet. But conflict can also be small and add detail and tension to every scene. Even in the opening sequence of Se7en, the rainstorm is inconvenient for the characters. For the audience though, the rain provides an uncomfortable and gritty visual display.

It’s important to add conflict in every scene when writing your novel or movie script. Conflict must always be present whether it’s external or internal. Many times, writers will add internal conflict in one scene, followed by a scene focused around the external conflict and then continue to write in this pattern until the middle of the story where both the internal and external collide.

Mixing the Conflicts

Books and movies require both internal and external conflicts. One will challenge the hero’s emotions where the other challenges the protagonist’s “physical” side of the plot. For example, in the Hunger Games, Katniss is coping with many internal conflicts: coping with the loss of her father and sorting her feelings toward Gale and Peter, while her external conflict is the events leading up to (and including) the district’s uprising.

The goals, the wants and the needs of your characters are not random. They have to be carefully plotted for your novel or movie script to make any sense. There are, however, certain examples where a writer may get away with not investing as much time and effort into developing certain types of conflicts.

In men’s action and adventure, the external conflict is dominant which overshadows the internal conflict. These men’s heroic characters don’t need to go through much soul searching because of the demands of the specific target audience as well as the genre. Simply put, action movies are full of action.

As a writer, how you decide to reveal your character’s internal and external conflicts will reflect their strengths, weaknesses, skills and abilities. Whatever conflicts you put your characters through, make sure it challenges them enough that it will eventually lead him or her to a breaking point.

If we look life 100 years ago, and compare that with the today’s life, we will notice that Science has dramatically changed human life. With the dawn of the Industrial Revolution in the 18th century, the effect of Science on human life rapidly changed. Today, science has a profound effect on the way we live, largely through technology, the use of scientific knowledge for practical purposes.

Some forms of scientific inventions have changed our lives entirely. For example the refrigerator has played a major role in maintaining public health ever since its invention. The first automobile, dating from the 1880s, made use of many advances in physics, mathematics and engineering; the first electronic computers emerged in the 1940s from simultaneous advances in electronics, physics and mathematics. Today we have extra high- speed super computers with 100 % accuracy.

Science has enormous influence on our lives. It provides the basis of much of modern technology – the tools, materials, techniques, and sources of power that make our lives and work easier. The discoveries of scientists also help to shape our views about ourselves and our place in the universe.

Research in food technology has created new ways of preserving and flavoring what we eat. Research in industrial chemistry has created a vast range of plastics and other synthetic materials, which have thousands of uses in the home and in industry. Synthetic materials are easily formed into complex shapes and can be used to make machines, electrical, and automotive parts, scientific, technical and industrial instruments, decorative objects, containers, packing materials and many other items.

Now with the help of vaccines, medications and proper health care system life expectancy has improved. Now people live longer and safe lives as compared to 200 years ago. Biochemical research is responsible for the antibiotics and vaccinations that protect us from infectious diseases, and for a wide range of other drugs used to defeat specific health problems. As a result, the majority of people on the planet now live longer and healthier lives than ever before.

6: After that and up to the age of 12 one used to fall in a prey to diseases like small pox, measles, whooping- cough, scarlet fever and diphtheria. Now Science has defeated these diseases.

7: At a later stage again one was under constant threat of yellow fever, malaria, typhus, cholera, typhoid and influenza. Today we have vaccines and medical aid to cope with these health problems. Further research is underway to find out the causes and treatment of these and other diseases.

8: From one person the disease used to spread among the other people. It is called Epidemics. Now with the help of Vaccines and Medications we have defeated these diseases. But still Science has to do more research and has to fight with other arenas of diseases.

9: Life was uncertain. It was rare to see to somebody thirty years old because due to diseases many people died earlier than the age of thirty. These conditions were prevailing just a short while ago.

10: In everyday life, we have to communicate with different friends and relatives, various official people and for general purposes. And many people to be contacted can be at very far off distances. However, time and distance both have been conquered by Science. Whether we want to communicate or travel, both are possible quickly, briskly and expeditiously.

11: These days there are very little chances of babies catching diseases, because births normally take place in hospitals under the supervision of a team of specialist doctors. Science has invented vaccines for young babies to protect them against future life illnesses.

12: Young people are also given medical treatment in time and these days the man lives for about seventy years.

13: Science and scientific methods have helped in finding out the cause of disease and its prevention.

14: Sanitary condition in the past was deplorable. Now we have better sanitary systems.

15: The city streets were unpaved; there was no proper drainage system. Garbage and other refuse was seen everywhere. Pigs were seen wandering through the streets. People got water from filthy wells. Now filtered mineral water is available to overcome diseases. Solid waste management is not a problem now a days, it is the duty of the city municipal committees to manage and dump it with the latest machinery and equipments

16: Now all these defects have gone. There is cleanliness everywhere. It is illegal to throw garbage into the streets. There is a proper drainage system and new and improved methods for solid waste management as it has been told earlier. There are separate departments that bother about sanitary condition of the towns.

17: A century ago for house hold purposes water was carried from wells outside in buckets. It sometimes proved injurious to human health. Moreover, it was insufficient for the daily needs. But now water filters have become a thing of common usage.

18: Now there is sufficient supply of water in cities. For example Los Angeles gets water through pipes from Colorado River, which is 340 miles away. This water is supplied to Los Angeles after the proper water filtration process.

19: With the help of science there is change in our food also. We get varieties of food. In the past, food could not be preserved. But now the quick freezing methods have made possible preservation possible. Due to modern technologies like dehydration and sterilization there is no chance of food poisoning. We get all kinds of fruits, meats and vegetables. Even those fruits and vegetables which are out of season.

20: Not only our eating habits are changed, but also there are improvements in our houses. Means of transport has also undergone a big improvement and change.

21: Science has also changed our attitudes. Superstitions have been discarded, because there is no scientific basis for them. Now people do not fear cloud thunders.

22: Now people no more believe that diseases are caused by evil spirits.

23: Astrology and fortune- telling have lost popularity as compared to 100 years ago. Nobody now fears black cats, broken mirrors and the number 13. Because science has proved that these kinds of fears are un-scientific and illogical.

24: Science has changed the longstanding false notions of the people, which are not supported by Scientific Facts.

25: Research in the field of science and technology has made people open-minded and cosmopolitan, because the Scientist does not like to travel on the beaten track and he always tries to find out new things, new explorations, new discoveries and new inventions.

26: Science has also brought medical equipments that help to save human life. The kidney dialysis machine facilitates many people to survive kidney diseases that would once have proved fatal, and artificial valves allow sufferers of coronary heart disease to return to active living. Marketing in general is a vast and complex beast which requires knowledge and effort to truly master and leverage it to its full potential to grow your brand, let alone your business. Any good internet marketing strategy can effectively help you build your business online. However, as many internet entrepreneurs look to expand their online presence and grow their businesses further, I find that many of them fail to create a complete marketing and business development strategy, focusing the majority of their efforts online. Over the course of my career as an entrepreneur, business owner and web designer, I’ve conducted business with many individuals and businesses all wanting to increase their reach, develop a stronger brand awareness and build a strong internet presence. Yet through all their questions, two common fears continually rang through during my discussions with many of them. They either feared the idea of taking on a major internet campaign or they felt that internet marketing would replace their tried and true traditional marketing methods. Both these fears have their roots in the fact that the vast majority of them simply lacked the proper knowledge necessary to see that both an internet marketing and traditional marketing strategy should compliment each other providing reciprocal support of their various strengths. I like to refer to this more complete picture of a marketing strategy as “blended marketing”.

Creating a Blended Marketing Strategy

Creating a blended marketing strategy isn’t all that difficult if you know your target audience and have identified how to reach them. From that point, you can craft a marketing strategy that will allow you to reach your target audience through multiple fronts to ensure your message is heard.

The first step is to conduct market research (yes you have to do this and you cannot skip this step). When conducting market research you need to identify:

  1. Who Your Target Audience Is
  2. Where They Hang Out
  3. How to Reach Them
  4. What are Their Needs
  5. How You Can Fill Their Need
  6. Will They Buy

Identifying a market for whatever you are offering is essential to the success of any business whether online or off.

The second step is to begin crafting your blended marketing strategy to incorporate the various resources available to reach your market. This is where the fun begins! Be creative with this and make sure you explore all possible options to get your message out to market. For example, you may want to include the various resources to syndicate your content not just for online purposes but also for offline purposes, such as industry magazines and journals. If you are creating an email marketing campaign, how will you mirror this effort offline through direct mail pieces? If you are going to utilize the Third Tribe concept for your online marketing, what real-world business networking and industry convention events are you going to attend to create brand awareness? Consider how you are going to integrate social media into your blended marketing and how can you drive people to follow you from your offline efforts?

The best way to create a blended marketing strategy is to mirror your online marketing efforts with potential real-world offline efforts that my accomplish the same if not similar task as your online efforts. Simply ask yourself: “Self, what offline marketing effort would be similar to this online marketing effort” then make a list of all related marketing strategies and decide which to integrate into your complete blended marketing strategy. Dedicate a lot of quality time to this process, because the more time you spend on market research and development to create your blended marketing strategy, the more effective your blended marketing strategy will be.
